Senior Freight Coordinator - Fine Art Logistics

Location: Hillingdon Area, West London / Heathrow

Salary: Up to £45,000 DOE

Job Type: Full-time, Permanent

Working Hours: Monday to Friday, 9:00am - 5:30pm (30-minute lunch)

Hybrid Working: Potential for one day WFH per week following probation

About the Role

Red Recruit Global is recruiting an experienced Senior Freight Coordinator to join a growing international Fine Art Logistics company based in the Hillingdon area, close to Heathrow.

This is an excellent opportunity for an experienced Freight Forwarding professional to manage complex international shipments involving fine art, antiques and high-value goods for prestigious galleries, auction houses, private collectors and VIP clients.

Working within an established Freight Operations team, you will coordinate international shipments, predominantly exports (90%) with some imports (10%), across air freight, road freight and courier services.

Our client is looking for someone with strong air cargo, courier and customs experience who is confident managing high-end clients directly and delivering exceptional customer service.

Fine Art Logistics experience is preferred but not essential.

Key Responsibilities

• Coordinate international export and import shipments via air freight, road freight and courier services.

   

• Manage shipments from warehouse dispatch through to final delivery.

   

• Arrange air cargo bookings directly with airlines and international courier shipments.

   

• Prepare shipping documentation, including Air Waybills (AWBs), T1s, Powers of Attorney (POAs) and specialist art documentation.

   

• Complete export customs declarations using CDS, ensuring correct tariff codes and Customs Procedure Codes (CPCs).

   

• Handle customs procedures involving bonded goods, free circulation and temporary admission.

   

• Act as a key point of contact for VIP clients, galleries, private collectors and international customers.

   

• Liaise with overseas agents, airlines, courier companies and specialist white glove delivery partners.

   

• Monitor shipments, resolve operational issues and provide proactive customer updates.

   

• Work closely with Customer Care and Warehouse teams to ensure smooth operations.

   

• Identify opportunities to improve freight and customs processes.

   

About You

• Minimum five years' experience in freight forwarding or international logistics.

   

• Strong experience handling air cargo and international courier shipments.

   

• Previous experience managing clients directly, ideally VIP, high-net-worth or high-end customers.

   

• Good knowledge of international shipping documentation and customs procedures.

   

• Experience with CDS export customs declarations would be highly advantageous.

   

• Excellent communication and customer relationship management skills.

   

• Highly organised, proactive and detail-oriented.

   

• Confident managing complex shipments and resolving operational challenges.

   

• Able to prioritise workloads and work independently in a fast-paced environment.

   

• Motivated, adaptable and comfortable learning new technologies.

   

• Previous Fine Art Shipping, Art Logistics or White Glove Logistics experience is preferred but not essential.

   

Salary & Benefits

• Salary flexible up to £45,000 depending on experience and seniority.

   

• Monday to Friday, 9:00am - 5:30pm.
